Rental Buddy ("we", "us", "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, hold and disclose your personal information when you use our website, mobile-responsive web app, and related services (the "Service").

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the 13 Australian Privacy Principles (APPs).

2. What information we collect

We may collect the following categories of personal information:

  • Identity & contact details — your name, title, email address, phone number, and current/future residential addresses.
  • Property & tenancy details — property type, number of bedrooms/bathrooms, lease end date, postcode, and information about services you require.
  • Lease documents — if you upload a copy of your rental agreement so we can review it, we store the document and any extracted text.
  • Account & authentication data — your hashed password, sign-in timestamps, and basic device information needed to keep your session secure.
  • Service interaction data — messages exchanged with the Rental Buddy team, to-do list activity, and how you use the Service.
  • Technical data — IP address, browser type, and basic analytics needed to operate and improve the Service.

We collect personal information directly from you when you interact with the Service. We do not knowingly collect information from anyone under 18 years of age.

3. How we use your information

We use your personal information to:

  • Create and manage your account and authenticate you when you sign in;
  • Provide quote estimates, source third-party service providers, and coordinate end-of-lease services;
  • Generate your personalised to-do list and AI narrative;
  • Communicate with you about your case, send service updates, and respond to your enquiries;
  • Improve our products, fix bugs, and develop new features;
  • Comply with legal obligations and protect against fraud or misuse.

We do not sell your personal information to third parties.

4. AI-generated content

Parts of the Service use third-party large-language-model APIs (such as Google Gemini via the Vercel AI Gateway) to generate content like to-do list summaries and contract insights. When we send your information to these providers, we send the minimum data necessary, and the providers act as our processors. We never use your personal data to train third-party models.

AI-generated content is informational only. It is not legal advice and you should not rely on it as a substitute for professional advice.

5. Who we share information with

We may share your personal information with:

  • Service providers we engage to operate Rental Buddy — including hosting (Vercel), database (Supabase), file storage (Vercel Blob), and AI providers (Google, OpenAI via Vercel AI Gateway). These providers are bound by confidentiality obligations and may only use your information to deliver their service to us.
  • Third-party trades and contractors we source on your behalf — limited to what they need to deliver the service you have requested (e.g. property address, scope of work).
  • Regulators or law enforcement when required by law, a court order, or to prevent serious harm.

6. Storage and overseas transfers

Personal information is stored on infrastructure operated by Supabase, Vercel and their underlying cloud providers, which may host data in Australia, the United States, or the European Union. We take reasonable steps to ensure that any overseas recipient handles your information consistently with the APPs.

7. Security

We use industry-standard technical and organisational measures to protect personal information from misuse, interference, loss, unauthorised access, modification or disclosure — including encryption in transit (TLS), encryption at rest, row-level security policies, and role-based access controls.

No system is 100% secure. If a notifiable data breach occurs, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches scheme.

8. Cookies and tracking

We use a small number of essential cookies to keep you signed in and to remember your session. We do not use third-party advertising cookies. If we introduce optional analytics or marketing cookies in the future, we will give you clear notice and the choice to opt in or out.

9. Your rights

You have the right to:

  • Access the personal information we hold about you;
  • Correct any information that is inaccurate, out of date or incomplete;
  • Request deletion of your account and associated data (subject to any legal record-keeping obligations);
  • Withdraw consent for optional processing at any time;
  • Lodge a complaint with the OAIC if you believe we have mishandled your information.

10. Retention

We retain your personal information only for as long as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. When your data is no longer needed, we will delete or de-identify it.
